To make sure everything runs smoothly while you take a well-earned break, we’ve gathered our top tips for maintaining great customer service – all summer long.
5 tips for a smooth summer on the phones:
1. Update your queue greeting well in advance. If you’re closing for the holidays or adjusting your opening hours, make sure your callers know what to expect. A friendly and informative queue message can make a big difference.
Example:
“Thank you for calling. We’re on summer break from 15 July to 2 August and operating with limited staff. We’ll answer your call as soon as we can. Thanks for your patience – and enjoy your summer!”
2. Set your summer opening hours in advance. If your business hours change over the summer, you can schedule them directly in Zylinc. This saves time – and ensures callers aren’t met with a closed line unexpectedly.
3. Use call routing smartly. If you’re running with fewer staff, make sure calls are directed to the right people – or to a backup colleague – so no one is left waiting unnecessarily. With Zylinc, you can easily set up rules for routing based on time of day, weekdays, or absence.
4. Remind colleagues to add vacations to their calendars – not just ‘Out of Office’-replies.
Zylinc reads availability from your calendar – not from automatic out-of-office messages. So if vacation time is added as a calendar event in Outlook, the system will correctly show the person as unavailable – and avoid misrouted calls.
If that’s not possible to add the calender event, the reception team can manually add a note under the person’s profile.
5. Maintain a clear overview – even when the team is on holiday. Zylinc gives you a complete overview of who’s available, busy or away – so you avoid forwarding calls to empty desks or overloaded queues. That means a smoother experience for your customers and less stress for the summer crew.
